Badges will then be shredded and the holders recycled.
Booking and Registration
You will receive an email shortly after booking, advising you of the status of your application. If your application is notified as ‘pending’ a further email confirming or denying your registration will follow a few days later. Bookings can be rejected for a number of reasons, but it is most likely that your booking would be rejected due to non-compliance with our ticket/registration set criteria. Two weeks prior to the event we will send you an email setting out the joining instructions for the event. If you do not receive this information, then please contact the conference organisers via email BDATeam@whitehallmedia.co.uk to ensure that your booking has been received and processed correctly. Please note that some company’s spam filters may mistakenly delete correspondence. It is important, therefore, to note whether you received the instant notification of your submission when the booking was made. If you did not receive the notification, you may need to check the spam filter. Please note all email correspondence for your booking will come from MDMTeam@whitehallmedia.co.uk Whitehall Media cannot be held liable for non-receipt of email correspondence due to the actions of outside servers. Your event badge will be issued to you when you register on site. Please allow adequate time to do this before conference sessions commence.
Solution Buyer or Vendor Tickets:
By agreeing to these terms and conditions, you confirm that you will liable for paying the total invoice amount based on the rate selected. If you wish to cancel, or you fail to attend the event, all charges are non-refundable. Substitutions or alterations may be made at any time in advance, or on the day, of the event at no extra charge. Alternatively you can choose to receive a credit note for the full value of the registration fee, which may be put towards another Whitehall Media event.
Promotional Code Tickets:
Any attendees registering using promotional codes starting with ‘VIP or DP’ will be subject to a £70 plus VAT cancellation fee should they fail to attend the event without prior notice. This cancellation fee covers our administrative and venue costs. Promotional codes should only be used by those who are eligible for the promotion. If a registration is submitted that does not meet our specified criteria, Whitehall Media will deny that registration via email and reserve the right to refuse access to the event. Hosted Delegates (HD codes), Exhibitor related attendees, Speakers and Press are not subject to the cancellation terms.

Filming & Photography
You consent to Whitehall Media (or those specifically employed by Whitehall Media to make on-site recordings), recording you by any means including, without limitation, electronic recording, film, videotape, audio tape and photography (the “Recordings”) without compensation of any kind to you. You further agree that Whitehall Media shall own the copyright of these Recordings. We typically use these recordings for promotional photos and videos displayed on the event websites. Speaking sessions are also filmed and provided to the speakers for their business use.
This event is a Business to Business Networking event for the benefit of Solution Buyers within the industry of the specific conference content. Solution Vendors exhibiting at the event have to purchase a ‘sponsorship package’ to exhibit and promote their products to the ‘Solution Buying’ attendees. Vendors are not permitted to access the event to ‘work the floor’ to sell their wares or solicit business from other attendees and exhibitors without the express permission of Whitehall Media. Anyone attempting this or trying to arrange meetings taking place at nearby locations for this purpose will be asked to leave the event. Whitehall Media also reserves the right to eject anyone whose behaviour is disruptive or distracting.
Food and Beverage
Food and Beverage at large Congresses is rarely provided to attendees without supplementary purchase. However, as this event remains conference-led, Whitehall Media provides basic catered refreshment breaks and a light ‘networking’ lunch, served standing in the exhibition area. Every effort is made to provide food that is suitable for the majority of delegates. However, the Food and Beverage provided at the event is not guaranteed as part of the attendance package as numbers may suddenly increase unexpectedly close to the event and we therefore cannot take any responsibility should attendees fail to receive any food. For people who have advised us of special dietary requirements, managing the delivery of these to the owner is sometimes problematic at standing lunches. Therefore, delegates are responsible for notifying any special dietary needs to a member of hotel staff. Every effort will be made to provide any requested alternative food stuff, but Whitehall Media cannot guarantee that this will be provided. The lunch selection does include Halal and vegetarian items.
